Legal & Privacy

The terms that govern your use of the COR Safety Management System (CORSMS), how we handle your information, and our payment terms. Last updated 8 June 2026.

Privacy Policy

COR Safety Management System ("CORSMS", "we", "us", "our") is committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Information we collect

We collect personal information you provide directly — including names, business and contact details, job titles, account credentials, and billing information — as well as compliance and operational data you enter into the platform (such as staff, contractor, vehicle, training, audit, and incident records). We also collect technical information automatically, including IP address, device and browser details, log data, and usage analytics.

2. How we use your information

We use personal information to provide, operate, secure, and improve the platform; to authenticate users and manage accounts; to process payments and issue invoices; to provide support and send service communications; to meet legal and regulatory obligations; and, where permitted, to send you relevant updates. You may opt out of marketing communications at any time.

3. Disclosure

We do not sell your personal information. We may disclose it to trusted service providers who support our operations (for example, hosting, email delivery, and payment processing such as Stripe), to your organisation's authorised administrators, and to regulators, law enforcement, or courts where required or authorised by law. Where information is disclosed to overseas providers, we take reasonable steps to ensure it is handled consistently with the APPs.

4. Data security and retention

We take reasonable technical and organisational measures to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. We retain information for as long as necessary to provide the service and to meet our legal, accounting, and reporting obligations, after which it is deleted or de-identified.

5. Access, correction, and complaints

You may request access to, or correction of, the personal information we hold about you, and you may raise a privacy concern, by contacting us at info@chainofresponsibility.au. We will respond within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

6. Cookies

The platform uses cookies and similar technologies that are necessary for sign-in, security, and core functionality, and to understand how the service is used. You can control cookies through your browser settings, though disabling them may affect functionality.

Terms & Conditions

These terms govern your access to and use of CORSMS and our related services, including audits and training. By creating an account or using the service, you agree to these terms.

1. The service

CORSMS provides software and services to support Chain of Responsibility (CoR) compliance under the Heavy Vehicle National Law (HVNL). The platform is a management tool and does not constitute legal advice. You remain responsible for your own compliance with the HVNL and all applicable laws.

2. Accounts and access

You must provide accurate information, keep your credentials secure, and are responsible for all activity under your account. You must not share logins, attempt to access data belonging to other tenants, or use the service in a way that breaches any law or these terms. We may suspend or terminate access for breach.

3. Acceptable use

You agree not to misuse the service, including by attempting to disrupt or compromise its security, reverse-engineering it, scraping data, uploading malicious code, or using it to store unlawful content. You are responsible for the accuracy and legality of data you enter.

4. Intellectual property

We and our licensors own all intellectual property in the platform, including software, templates, branded documents, and content. You retain ownership of the data you enter and grant us a licence to host and process it solely to provide the service.

5. Fees and billing

Fees for subscriptions, audits, and training are as quoted at the time of purchase and are payable in Australian dollars (AUD). Subscriptions renew automatically unless cancelled before the renewal date. Invoiced amounts are due on the stated terms (default net 14 days). We may change fees on reasonable notice, effective from your next billing period.

6. Service availability

We aim to provide a reliable service but do not guarantee uninterrupted or error-free operation. We may perform maintenance, update features, or modify the service from time to time.

7. Limitation of liability

To the maximum extent permitted by law, CORSMS is not liable for indirect, incidental, or consequential loss, or for loss of profits, data, or goodwill. Our total liability arising from the service is limited to the fees you paid in the 12 months before the relevant claim. Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including under the Australian Consumer Law.

8. Termination

You may cancel your subscription at any time, effective at the end of your current billing period. We may suspend or terminate the service for breach or non-payment. On termination you may request an export of your data within a reasonable period, after which it may be deleted.

9. Governing law

These terms are governed by the laws of Queensland, Australia, and you submit to the non-exclusive jurisdiction of the courts of that State.

No-Refund Policy

All fees are non-refundable.

By purchasing any CORSMS subscription, audit, or training, you acknowledge and agree to the following terms.

1. Subscriptions

All subscription fees are charged in advance and are non-refundable. We do not provide refunds or credits for partial billing periods, unused time, downgrades, or accounts cancelled, suspended, or terminated part-way through a billing period. You will retain access until the end of the period you have paid for.

2. Audits and professional services

Fees for audits and professional services are non-refundable once work has commenced or a booking has been confirmed. Deposits are non-refundable.

3. Training

Training fees are non-refundable. We do not refund for non-attendance, late cancellation, or change of mind. At our sole discretion we may allow a one-time reschedule or substitute attendee if you give us reasonable prior notice; this is a courtesy and not an entitlement.

4. No change-of-mind refunds

We do not offer refunds for change of mind, for failure to use the service, or because a feature did not meet an expectation that was not part of the agreed service description.

5. Your rights under the Australian Consumer Law

Nothing in this policy excludes, restricts, or modifies any consumer guarantee, right, or remedy that you have under the Australian Consumer Law or any other law that cannot lawfully be excluded. Where a guarantee that cannot be excluded applies and we have failed to meet it, you may be entitled to a remedy as required by law. This policy applies only to the fullest extent permitted by law.

6. How to contact us

For any billing query, contact us at info@chainofresponsibility.au before your renewal date.
